1. Overview of the Tasks Submodule
The Tasks Submodule within the Work module helps in organizing, assigning, and tracking tasks associated with projects. It features multiple views, filters, and actionable items to improve task management and enhance productivity.
2. Accessing the Tasks Submodule
Navigate to the Work module in the left-hand menu.
Select Tasks to open the task dashboard.
3. Features of the Tasks Submodule
a. Task Listing Page
The Task Listing Page provides an overview of all tasks and their current status.
Columns Displayed:
Code: A unique code for each task.
Task: Task title and associated project.
Completed On: The task completion date (if applicable).
Start Date & Due Date: The task's assigned time frame.
Estimated Time: Time allocated for the task.
Hours Logged: Time tracked while working on the task.
Assigned To: Team members assigned to the task.
Status: The current progress of the task (e.g., To Do, Doing, Completed).
Filters and Search:
Duration: Search tasks by start and end dates.
Status Filter: Toggle between showing completed, pending, or all tasks.
Search Bar: Locate tasks by entering keywords related to task titles or projects.
Action Items:
View: View task details.
Edit: Modify task information.
Delete: Remove the task permanently.
b. Add Task
To create a new task:
Click the "Add Task" button.
Fill in the task details:
Title: Name of the task.
Task Category: Categorize the task for better organization.
Project: Link the task to an associated project.
Start Date and Due Date: Specify the timeline. Check "Without Due Date" if the task is open-ended.
Assigned To: Select one or more team members responsible for the task.
Description: Provide detailed information about the task using the text editor.
Expand Other Details for additional configurations.
Click "Save" to finalize, or "Save & Add More" to create another task immediately.
c. My Tasks
The My Tasks section provides a personalized view of tasks assigned to the logged-in user.
Quickly access all tasks assigned to you, organized by status and due date.
d. Task Status
Tasks can have the following statuses:
To Do: Tasks that are planned but not yet started.
Doing: Tasks that are currently in progress.
Completed: Tasks that have been finished.
Status updates can be made directly from the Task Listing Page using the status dropdown.
e. Export Functionality
Use the Export button to download task data for reporting and analysis purposes. You can export task details such as codes, titles, due dates, and statuses.
f. Tabs for Task Views
The submodule offers multiple tabs for managing tasks:
Task List:
Displays tasks in a tabular format with comprehensive details (e.g., status, dates, assigned team members).
Filters and actions are available.
Task Board:
A Kanban-style view with columns for different statuses (e.g., Incomplete, To Do, Doing, Completed, Waiting Approval).
Drag and drop tasks between columns to update their statuses.
Add custom status columns to tailor the workflow.
Note: Tasks in the Waiting for Approval column cannot be dragged.
Task Calendar:
Displays tasks based on their start and due dates in a calendar view.
Switch between views (day, week, month, or list) for better time management.
Pinned Tasks:
Quickly access tasks marked as pinned for prioritization or follow-ups.
Waiting Approval:
Displays tasks that require approval from project admins or task managers.
4. Best Practices
Use Filters: Narrow down tasks by duration, status, or assigned users to focus on specific workloads.
Update Status Regularly: Keep task statuses updated to reflect accurate progress.
Leverage the Task Board: Use the Task Board for a visual overview and dynamic updates of task statuses.
Export for Reporting: Regularly export task data to track performance and identify bottlenecks.
