The Reports submodule in the Payroll module allows users to generate and download various reports related to payroll, including monthly and cumulative data, as well as Tax Deducted at Source (TDS) reports for companies and employees. This guide outlines the features and functionality of the Reports submodule. 

 

1. Tabs in the Reports Submodule 

 

The Reports submodule consists of three main tabs: 

a. Export 

  • Use this tab to generate and download payroll reports.

  • Features include:  

  • Monthly Sheet: Download payroll details for a selected month. 

  • Cumulative Sheet: Download aggregated payroll data for the selected period. 

  • Filters: Narrow down reports by:  

  • Month: Select the reporting month. 

  • Department: Filter reports by a specific department. 

  • Designation: Filter reports by employee designation. 

 

b. Company TDS Report 

  • Displays the TDS charged for the company.

  • Features include:  

  • TDS Charged: View the total TDS amount charged for the company. 

 

c. Employee TDS Report 

  • Displays TDS details for individual employees.

  • Select Member: Use the dropdown menu to choose an employee. 

  • TDS Charged: View the total TDS amount deducted for the selected employee. 

 

 

How to Use the Reports Submodule 

 

Generating and Downloading Reports 

  1. Navigate to the Export tab. 

  1. Use the filters to select the desired Month, Department, and Designation.

  1. Click:  

  • Monthly Sheet to download payroll data for a specific month. 

  • Cumulative Sheet to download aggregated data.

  1. The downloaded file will appear as an Excel sheet in your browser. 

 

Viewing Company TDS Report 

  1. Navigate to the Company TDS Report tab. 

  1. View the TDS Charged card to see the total TDS amount charged for the company.

Viewing Employee TDS Report 

  1. Navigate to the Employee TDS Report tab. 

  1. Select an employee from the Select Member dropdown menu. 

  1. View the TDS Charged card to see the total TDS amount deducted for the selected employee.

Excel File View 

  • The downloaded reports are in Excel (.xlsx) format and include the following details:  

  • Monthly Sheet 

  • Employee ID, Name, Department, Designation, and Salary Group. 

  • Payroll details such as Basic Salary, Expense Claims, Extra Earnings, Deductions, Total Earnings, and Net Salary. 

  • Totals for each column are calculated and displayed at the bottom of the sheet. 

  • Cumulative Sheet 

  • Similar data as the Monthly Sheet but aggregated over the selected period. 

  • Includes month-by-month breakdowns of earnings and deductions. 

  • The reports are formatted with headers for easy readability and include totals at the end of each category. 

 

 

Best Practices 

  • Use the filters in the Export tab to generate targeted reports that meet your requirements. 

  • Regularly download and review TDS reports to ensure compliance with tax regulations. 

  • Confirm the accuracy of report data before using it for financial planning or decision-making. 

 

FAQs 

Q1: Can I generate reports for multiple months at once? 

  • Yes, use the Cumulative Sheet option in the Export tab to generate data for multiple months. 

Q2: How can I see TDS details for a specific employee? 

  • Navigate to the Employee TDS Report tab and select the employee from the dropdown menu. 

Q3: What format are the reports downloaded in? 

  • All reports are downloaded as Excel files (.xlsx). 

Q4: What happens if no data is available for the selected filters? 

  • The report will still be generated, but it will show empty data fields.
