The Expense Report module provides a detailed overview of all expenses incurred within a specified time frame. This includes individual expense items, expense categories, graphical reports, and export functionality.

  1. Widgets:

    • Displays Total Expenses incurred during the selected time frame.

  2. Expense Report Graph:

    • A graphical representation of expense trends over time, displaying expense amounts by date.

  3. Expense Category Report:

    • A bar chart showcasing the distribution of expenses across different categories.

  4. Expense Table Listing:

    • A detailed table view of expenses, including: 

      • Item Name

      • Price

      • Price (USD)

      • Employees

      • Purchased From

      • Bank Account

      • Purchase Date

      • Bill (if attached)

      • Status

  5. Filters and Search:

    • Filter expenses by Category, Employee, Project, or Date Range.

  1. Export Functionality:

    • Allows users to export expense reports in CSV format.

  2. Views:

    • Tabular View: Displays detailed item-wise expenses.

    • Category View: Aggregates expenses by category and displays their total price.

Steps to Use


  1. View Expense Reports

    • Navigate to Reports > Expense Report.

    • Select a duration or use filters for precise results.

    • View expense trends in graphical format or table view.

  2. Analyze Expense Trends

    • Refer to the Expense Report Graph for a timeline view.

    • Use the Expense Category Report to analyze category-wise distribution.

  3. Filter Data

    • Apply filters to refine the displayed data.

    • Use search functionality for quick access to specific entries.

  4. Export Data

    • Click the Export button to download the displayed data in CSV format.



User Roles and Permissions

  • Admin: Full access to view, filter, and export all expense data.

  • Manager: Access to view and export data related to their team or projects.

  • Employee: Limited to viewing expenses they are associated with.



Error Handling

  1. No Data Available

    • If there are no expenses during the selected time frame, the system displays “No data available.”

    • Check the filters or expand the date range for more results.

  2. Export Errors

    • If export fails, ensure that the internet connection is stable or reapply filters and try again.
