1. Overview of Employees
The Employees Submodule within the HR module enables you to manage employee records efficiently. You can list, add, invite, import, and export employee details, as well as perform key actions like viewing and editing individual employee profiles.
2. Accessing the Employees Dashboard
Navigate to the HR section in the left-hand menu.
Select Employees to open the Employees Dashboard.
3. Features of the Employees Dashboard
The dashboard provides an overview of all employees, including their names, email addresses, roles, reporting managers, and statuses.
a. Employee Listing
Displays key employee details, such as:
Employee ID
Name and Email
Designation and Reporting Manager
Status (e.g., Active, On Probation, On Notice Period)
b. Add Employee
Click the "Add Employee" button to open the employee creation form.
Fill in the required fields in the following sections:
Account Details:
Employee Name, Email, Designation, Department, Mobile, Gender, Reporting To, Joining Date, and User Role.
Add profile information, including Address, About, and Profile Picture (optional).
Other Details:
Define employment attributes such as:
Probation Period Start/End Date
Notice Period Start/End Date
Skills, Hourly Rate, Employment Type, and Business Address
Enable or disable Login Allowed and Receive Email Notifications
Click "Save" to create the employee record, or "Save & Add More" to add multiple employees consecutively.
c. Invite Employees
Click the "Invite Employee" button to invite new employees to the system.
Two options for inviting:
By Email: Enter the employee's email address and add an optional message. The employee will receive a login invitation.
By Link: Generate a shareable link that employees can use to set up their profiles.
Click "Send Invite" to complete the invitation process.
4. User will receive invite to his email address (if invite send by email). Simply click “Accept Invitation”.
d. Import Employees
Click the "Import" button to upload multiple employee records in one step.
Steps for importing:
Download Template: Click "Download Sample Import File" to obtain the correct format.
Fill in the required details in the file (ensure dates are in YYYY-MM-DD format).
Upload the completed file using the "Choose a File" option.
Click "Upload and Move to Next Step" to complete the process.
e. Export Employees
Click the "Export" button to download the list of employees as an Excel file for reporting or backup purposes.
f. Search and Filter Employees
Use the Search Bar to locate employees by name, email, or other attributes.
Apply Filters to narrow down the list of employees by:
Department
Role
Status (e.g., Active, On Probation, On Notice)
Gender
Employment Type
4. Action Items for Individual Employees
Each employee in the listing has an action menu (three dots) with the following options:
View: See detailed employee information, including personal and job-related details.
Edit: Modify employee details such as name, designation, or reporting manager.
Delete: Permanently remove the employee record from the database.
5. Employee Status Indicators
The dashboard uses indicators to show employment status, such as:
Active: Employee is currently active in the system.
On Probation: Employee is in the probationary period.
On Notice Period: Employee has submitted notice to leave.
Best Practices and Tips
Regularly update employee records to reflect changes in roles, departments, or statuses.
Use the Invite Employee feature for a seamless onboarding process.
Leverage filters to focus on employees with specific statuses or roles.
Export employee data periodically for backup or reporting purposes.
