The E-Invoice submodule in the Finance module enables you to manage electronic invoices effectively. This includes listing invoices, exporting data, filtering and searching, configuring e-invoice settings, and downloading e-invoice documents. Below is a detailed guide to help you navigate and utilize this submodule.
E-Invoice Listing Page
In Finance Module, click on E-invoice.
View all electronic invoices in a table format.
Columns include:
Code: Unique identifier for the invoice.
Invoice Number: System-generated invoice number.
Project: Associated project (if applicable).
Client: Client details (e.g., name and company).
Total: Total invoice amount.
Paid/Unpaid Amount: Displays amounts paid and unpaid.
Invoice Date: Date of the invoice.
Status: Invoice payment status (e.g., Unpaid, Partially Paid).
Action: Options to view or download the invoice.
Actions
View Invoice: Click the edit icon to view and edit invoice details.
Download E-Invoice: Click the e-invoice icon to download the electronic invoice.
Export E-Invoices
Use the Export button to download the e-invoice data in .xls or .csv format for analysis and record-keeping.
Filter and Search
Apply filters to refine the e-invoice list based on:
Project: Filter by associated projects.
Status: Filter by invoice payment status (e.g., Unpaid, Paid).
Use the search bar to locate specific invoices quickly by typing relevant keywords.
E-Invoice Settings
Configure e-invoice settings by clicking the Settings button.
Fields to complete include:
Electronic Address: Enter the e-address for the invoice.
Electronic Address Scheme: Define the scheme used for the address.
Company ID: Add your company identification number.
Company ID Scheme: Specify the scheme for the company ID.
Click Save to apply the changes.
Note
Ensure that your business address and country settings are correctly configured as these are linked to the e-invoice functionality.
Download E-Invoice
Download an individual invoice directly from the listing page by clicking the E-Invoice button in the Actions column.
Best Practices
Regularly update e-invoice settings to comply with regulatory requirements.
Use the export feature to maintain records and perform reconciliations.
Monitor the payment status of invoices to follow up on unpaid amounts promptly.
