The Credit Note submodule within the Finance module provides tools for managing credit notes issued to customers, enabling streamlined tracking, exporting, and application to future invoices. Below is a detailed guide on how to utilize this submodule.  

Credit Note Listing Page 

The Credit Note Listing Page serves as a central dashboard for managing all credit notes. It displays key information in a tabular format:

  • Credit Note #: The unique identifier for each credit note. 

  • Invoice: The associated invoice number. 

  • Name: The customer or client associated with the credit note. 

  • Total: The total value of the credit note. 

  • Credit Note Date: The date when the credit note was issued. 

  • Status: The current status of the credit note. 


Features: 

  • Search Bar: Locate specific credit notes using keywords like client name, credit note number, or date. 

  • Filters: Apply filters to narrow down results by duration (start date to end date) or specific clients. 

  • Pagination: Adjust the number of entries displayed per page for easier navigation.

Export Credit Notes 

Exporting credit notes allows you to download data for record-keeping or further analysis. 


Steps: 

  1. Navigate to the Credit Note Listing Page. 

  1. Click the Export button at the top of the page. 

  1. Select the desired format for the export file (e.g., CSV or Excel). 

  1. Confirm the export and download the file to your device.

How Credit Notes Work 

Credit notes follow a defined lifecycle: 

  1. Product Returned or Order Cancelled: A credit note is issued when a product is returned or an order is cancelled. 

  1. Credit Notes Issued: The credit note is created in the system, associated with the original invoice. 

  1. Credits Generated: The credit amount is added to the customer's account. 

  1. Apply to Future Invoices: The credit can be applied to future invoices, reducing the payable balance for the customer.

  • Ensure credit notes are accurately linked to the corresponding invoice for proper reconciliation. 

  • Regularly export credit note data to maintain a backup and streamline reporting. 

  • Use filters and search options to quickly find and manage credit notes in the system.
