The Contracts Submodule in the Work Module streamlines contract management by allowing users to create, manage, and track contracts and templates. This submodule supports features such as contract creation, template management, export functionality, filtering, and searching for ease of use and efficiency.
Navigate to the Work module in the left-hand menu.
Click on Contracts to open the Contracts Dashboard.
a. Contracts Listing Page
The Contracts Listing Page displays a summary of all existing contracts. Key elements include:
Columns:
#: Unique identifier for the contract.
Subject: Title or purpose of the contract.
Client: The client associated with the contract.
Project: Linked project, if applicable.
Amount: Contract value.
Start Date: Contract initiation date.
End Date: Contract termination date.
Action: Options to view, edit, or delete the contract.
Actions:
View: Open the detailed contract information.
Edit: Modify existing contract details.
Delete: Remove a contract permanently.
Other : Company signature, copy contract, public link, download
Features:
Filter: Filter contracts based on the client, contract type, and duration.
Search: Locate specific contracts using keywords.
Export: Download the contract data in a preferred file format for reporting or sharing.
b. Create Contract
To add a new contract:
Click "Create Contract" on the Contracts Listing Page.
Fill out the Contract Details form:
Contract Number: Auto-generated number for the contract.
Subject: Title or purpose of the contract.
Project: (Optional) Link the contract to a specific project.
Description: Provide a detailed description using the text editor.
Start Date and End Date: Set the contract timeline. Check "Without Due Date" if the contract does not have an end date.
Contract Value: Specify the monetary value of the contract and select the appropriate currency.
Contract Type: Choose a predefined type or create a new one.
Enter Client Details:
Select the client from the dropdown menu or click "Add" to create a new client profile.
Input additional information like city, state, country, alternate address, and notes.
Click "Save" to finalize the contract creation.
c. Contract Templates
Contract Templates allow for the standardization of frequently used contract formats.
Contract Template Listing Page:
Displays a summary of all existing templates, including:
Subject: Title of the template.
Amount: Default contract value associated with the template.
Actions: Options to view, edit, or delete the template.
Supports Search functionality to locate specific templates.
Add Contract Template:
Click "Add Contract Template" on the Contract Template Listing Page.
Fill out the Template Details form:
Subject: Provide a title for the template.
Description: Add template details using the text editor.
Contract Type: Select or add a type for the template.
Contract Value: Set a default monetary value and select the currency.
Click "Save" to add the template.
d. Export Functionality
The Export button is available on both the Contracts Listing Page and the Contract Template Listing Page.
Users can download the listed data in a preferred format for reporting, backup, or sharing purposes.
e. Filters and Search
Filters:
Filter contracts by Client, Contract Type, or Duration (Start Date to End Date).
Filter templates by Subject or other criteria.
Search:
Quickly locate specific contracts or templates using keywords.
Maintain Consistency: Use templates for standard contracts to ensure uniformity.
Regular Updates: Periodically review and update contracts and templates to align with current business needs.
Backup Data: Use the Export feature to create backups of your contracts and templates.
Organize with Filters: Use filtering and searching features to manage large numbers of contracts efficiently.
