The Proposal submodule in the Finance module is designed to help you create, manage, and organize proposals for your leads. Follow this guide to understand how to utilize its features efficiently.
Accessing the Proposal Submodule
Go to the Finance module in the left-hand menu.
Click on Proposal to access the Proposal Listing Page.
Proposal Listing Page
The Proposal Listing Page serves as the central hub for managing all proposals.
Key Features:
Search: Quickly locate proposals by typing keywords (e.g., lead name, deal name) into the search bar.
Filters:
Use the filter option to refine proposals based on their status (e.g., Draft, Sent, Approved).
Clear filters to reset the listing view.
Export: Download a spreadsheet (.xlsx) of the proposals by clicking the Export button.
Action Items:
View: Open a proposal to view its details.
Edit: Update the proposal information.
Delete: Permanently remove a proposal.
Creating a Proposal
To create a new proposal:
Click on the Create Proposal button.
Fill in the Proposal Details:
Lead Contacts: Select the lead for whom the proposal is being created.
Deal: Associate the proposal with a deal (if applicable).
Currency: Choose the appropriate currency for the proposal.
Valid Till: Set the validity date for the proposal.
Description: Add a detailed description or notes for context.
Add Items:
Select products or services from the dropdown.
Specify Quantity, Unit Price, and applicable Tax.
Review the calculated totals in the "Amount" section.
Additional Features:
Enable "Require customer signature for approval" if necessary.
Add notes or terms and conditions for the recipient.
Click Save to create the proposal or Cancel to discard it.
Proposal Templates
Proposal templates help streamline the process of creating recurring or standardized proposals.
Proposal Template Listing:
View and manage all existing templates.
Use the Search bar or Filter options to locate specific templates.
Use the Action Items (View, Edit, Delete) to manage templates.
Adding a Proposal Template:
Click Add Proposal Template on the template listing page.
Enter a Name and optional Description for the template.
Select items (products/services) to include in the template.
Configure pricing, quantity, and tax details.
Click Save to save the template.
FAQs
Q: Can I create proposals for existing clients?
A: No, proposals are meant for leads. For existing clients, use the Estimates feature instead.
Q: How do I duplicate a proposal?
A: You can create a new proposal using the same details by manually copying the required information into a new proposal. Currently, there isn’t an automated “duplicate” feature.
Q: What happens if I leave the "Valid Till" field blank?
A: The system may prompt you to enter a date, as this field is mandatory for creating proposals.
Best Practices
Regularly review and clean up old or unneeded proposals to maintain an organized listing page.
Use descriptive names for templates to easily identify their purpose.
Always double-check the tax and discount calculations before saving or sending a proposal.
Utilize the “Export” feature to keep a local record of your proposals for reporting or auditing purposes.
