The Interview Schedule submodule in the Recruit module allows users to manage candidate interview schedules effectively. It provides features for creating, viewing, editing, and managing interviews, along with filtering and exporting interview data. Below is a detailed description of the functionalities:
In navigation panel, click on Recruit module – Interview Schedule.
1. Candidate Interview Schedule Listing Page
Displays a list of all scheduled interviews.
Columns include:
Candidate Name: Name of the candidate scheduled for the interview.
Interviewer: Name of the assigned interviewer.
Scheduled Date and Time: Date and time of the interview.
Interview Round: Specific round of the interview (e.g., Technical, HR).
Status: Current status of the interview (e.g., Pending, Completed).
Pagination: Allows navigation through multiple pages of interview schedules.
2. Add Interview Schedule
Click the + Add Interview Schedule button to open the form for scheduling interviews.
Form fields include:
Job: Select the job associated with the interview.
Candidate: Choose the candidate scheduled for the interview.
Interviewer: Assign an interviewer for the session.
Round: Specify the interview round (e.g., Initial, Technical).
Interview Type: Choose the mode (e.g., In-Person, Virtual).
Start Date & Time: Set the interview date and time.
Comments: Add notes for the interviewer or candidate.
Notification Options: Notify candidates and interviewers via email.
Save or Save & Add More options for scheduling interviews.
3. Export
The Export button allows users to download interview schedules in a structured file format (e.g., CSV, XLS).
Includes options to export the entire listing or filtered results.
4. Search and Filter
Search: Quickly locate interview schedules by typing candidate names, job titles, or interviewers.
Filter: Narrow down schedules using various criteria:
Duration: Select start and end dates.
Status: Filter by interview status (Pending, Completed, Hired, etc.).
Interviewer: Filter by assigned interviewers.
5. Table View and Calendar View
Table View: Displays interviews in a tabular format for quick scanning.
Calendar View: Provides a calendar representation to visualize scheduled interviews by day, week, or month.
Clicking on a calendar entry opens interview details.
Calendar entries can be filtered by date, job, or status.
6. Action Items
View: Opens detailed information about the interview schedule.
Edit: Allows editing the interview details, such as date, time, interviewer, or comments.
Accept/Reject: Update the interview status directly from the listing or calendar view.
Reschedule Interview: Change the date, time, or interviewer.
Delete: Remove the interview schedule from the system.
7. Status Management
Each interview schedule is tagged with a status:
Pending: Awaiting action or feedback.
Hired: Candidate successfully hired.
Completed: Interview successfully conducted.
Canceled: Interview canceled.
Best Practices
Use the Export feature for generating reports or tracking interview progress offline.
Utilize the Calendar View for a holistic overview of interview schedules.
Regularly update the Status field to maintain accurate records of interview outcomes.
