The Estimates submodule in the Finance module is designed to help you create, manage, and organize estimates for your clients. This guide covers all aspects of the submodule to ensure you can use it effectively.
Accessing the Estimates Submodule
Navigate to the Finance module from the left-hand menu.
Click on Estimates to access the Estimates Listing Page.
Estimates Listing Page
The Estimates Listing Page serves as the main dashboard for managing all your estimates.
Key Features:
Search: Find specific estimates by entering keywords, such as client name or estimate number, in the search bar.
Filters:
Filter estimates by their status (e.g., Draft, Sent, Approved).
Use the Duration filter to view estimates created within a specific date range.
Reset filters by clicking Clear.
Export: Download all estimates as a spreadsheet (.xlsx) for reporting or record-keeping purposes.
Action Items:
View: Open the estimate to view detailed information.
Edit: Modify the estimate as needed.
Delete: Remove an estimate permanently.
Creating an Estimate
To create a new estimate:
Click the Create Estimate button.
Fill in the following details:
Estimate Number: Automatically generated, but can be edited if needed.
Client: Select the client for whom the estimate is being created.
Valid Till: Set the expiration date for the estimate.
Currency: Select the currency for the estimate.
Tax Calculation: Choose whether to calculate tax before or after applying discounts.
Description: Add any necessary details or notes about the estimate.
Add Items:
Select products/services from the dropdown.
Specify the Quantity, Unit Price, and applicable Tax for each item.
Totals will be calculated automatically.
Additional Options:
Add notes or Terms and Conditions for the recipient.
Click Save to finalize the estimate, Save as Draft to continue later, or Cancel to discard changes.
Estimate Templates
Estimate templates allow you to standardize and streamline the process of creating estimates.
Estimate Template Listing Page:
View all existing templates, with options to search and filter templates.
Perform actions such as View, Edit, or Delete on individual templates.
Creating an Estimate Template:
To navigate to the Estimate Template page and click Estimate Template.
Enter a Template Name and optional Description.
Add products or services to the template, including pricing, quantity, and tax details.
Click Save the template to use it for future estimates.
Estimate Requests
The Estimate Requests feature enables you to manage incoming requests for estimates from clients.
Creating an Estimate Request:
To navigate to the Estimate Requests page and click Create Estimate Request.
Enter a Estimate Details and optional Description.
Click Save
Sending an Estimate Request:
To send an Estimate Requests, click send Estimate Request.
select Client name, click Send.
Ensure all requests are reviewed and responded to promptly to maintain good client relationships.

Use the How It Works tab (represented by the ? icon) to understand the steps for creating and managing estimate requests.

Q: Can I edit an estimate after sending it to a client?
A: Yes, you can edit the estimate unless it has been approved by the client. Use the Edit action on the Estimates Listing Page.
Q: What happens if I don’t specify a "Valid Till" date?
A: The system requires a "Valid Till" date to proceed. This ensures the client knows the deadline for accepting the estimate.
Q: Can I duplicate an existing estimate?
A: Currently, there is no direct duplication feature. However, you can create a new estimate using the same items and details manually.
Q: How do I create a recurring estimate?
A: Use the Estimate Templates feature to standardize recurring estimates, making the process faster and more efficient.
Q: Can I export estimates for a specific date range?
A: Yes, use the Duration filter to select the date range before clicking the Export button.

Regularly clean up old or unused templates to maintain an organized listing page.
Always double-check item prices and tax calculations before finalizing estimates.
Use descriptive template names to make selection easier when creating estimates.
Export estimates periodically for reporting or record-keeping.
